ROLE PURPOSE:
The Administration Assistant is responsible for providing office administrative support as well as handling documents and filing, as well as being the office receptionist.
Contract Duration: 12 Months
Location: Hargeisa
KEY AREAS OF ACCOUNTABILITY:
- Manage the reception function – receiving SC guests and directing them to the relevant office
- Arrange and follow up various travels of staff members
- Prepare Weekly movement for the internal staff / Consultant and share with Administration Officer
- Updates the travel board for movement of staff
- Updates the flight lists as instructed by Administration Officer.
- Prepare Monthly Payment Tracker for EC Flight & Visa’s
- Arrange Visas (Single and Multiple) and reserve flights and Hotels for visitors and keep tracking their status
- Make arrangements for various meetings and training workshops and provides the necessary assistance as required;
- Focal point of lunch committee in Hargeisa Office
- Systematically maintains files of hard and electronic documents related to flight bookings & visa applications
- Liaise with ECHO Flight Coordinator to authorize flights for consultants, partners and any other stakeholder as required.
- Manage the office stationary store and plan their re-supply in quarterly bases
- Appraise the performance of cleaners at the office
- Any other duties assigned by the line manager
Qualifications and Experience
- Bachelors’ Degree or Diploma of Administration or other related field
- Minimum 2 years proven work experience in Admin/secretarial position within a busy working environment such as private company or INGOs
- Previous experience of managing a similar administrative and secretarial working.
- Good English language command.
- Good computer and writing skills.
- Good communication and interpersonal skills.
- High level of integrity and ability to work as part of a professional team.
